Monthly Attendance Register

Run the Monthly Register to view student attendance by date. This report provides school administrators with attendance statistics for their school broken down by month. The report is designed to be run after a month has ended, so it includes complete statistics for an entire month. For example, run the report in May to get the statistics from April 1 – 30.

At the end of each class, the report includes totals for that year of graduation:

To print the Monthly Register:

  1. Log on to the School view.
  2. Select Attendance > Daily History.
  3. On the Reports menu, click Monthly Register. The Monthly Register pop-up appears.
  4. Enter the report parameters.

Note: The values in the Monthly Totals are for the dates of the indicated month (e.g., April 1 - April 30). The YTD Totals are for the dates from the beginning of the school year to the end of the indicated month (e.g., September 1 - April 30).

Total number of days the student was absent during the date range.

Total number of days the student was tardy during the date range.

N

Total number of days the student was not a member of the school during the date range.  

This value will be greater than 0 for students that enrolled after the start of school or withdrew before the end of the month.

DS

Total number of in-session days for the school during the date range.

This value is derived by looking at the student’s calendar code. The system looks for the school calendar that matches the student calendar code and counts the number of in-session days up to the report date.

This number can be different for students in the same school if the school uses multiple calendars.

Total number of days in which the students were present during the date range.  

This is the tally of values found in the P column across all students.

Absent

Total number of days in which the students were absent during the date range.  

This is the tally of values found in the A column across all students.

Tardy

Total number of days in which the students were tardy during the date range.

This is the tally of values found in the T column across all students.

Dismissed

Total number of days in which the students were dismissed during the date range.

This is the tally of values found in the D column across all students.

Non-Member

Represents the number of non-member days across all students in the date range.

This is the tally of the values in the N column across all students.

This value will be a number greater than 0 if at least one student enrolls in or withdraws from the school during the date range.

Days in Session

The total number of days-in-session for the date range.

This is the tally of the values in the DS column across all students.

Note: Present + Absent + Non-member = Days in Session

Members

Total number of students that were members of the school during the date range.

Students with at least 1 member day (the value of N is less than the value of DS) are counted towards this total.

% Present

Calculated by dividing the total days Present by the total number of days school was in session (the sum of Present and Absent).

% Present = 100 * (Present / (Present + Absent))

Avg. Daily Att.

Average Daily Attendance

Calculated by dividing the total days Present by the average number of days in session for all students.

Note: The average number of days in session will be the value of the DS columns, unless the report is being run for a school with multiple calendars.

Avg. Daily Att. = Present / AVERAGE (DS)

Avg. Daily Mb.

Average Daily Membership

Calculated by dividing the total number of days students were members in the school (the sum of Present and Absent) by the average number of days in session (see Avg. Daily Att.).

Avg. Daily Mb. = (Present + Absent) / AVERAGE (DS)

Troubleshooting

Following are common problems that can cause the Monthly Attendance Register report to display incorrect results:

  • Archived students included in results: Students are included in the Monthly Register based on their enrollment records. If a student in the archive school has an entry in an active school, but no withdrawal record, he/she will appear on the report. Students like this are considered Archived Members and can be identified by running the Invalid Enrollment report.
  • Days in Session (DS) displays 0: A student’s Days in Session will display as 0 if he/she does not have a valid calendar code. A student’s calendar code must be present in the school’s calendars defined for that school year (School view, School > Calendars).
